Information we collect
What we collect depends on how you use Book With AI — as a customer booking an appointment, a salon owner running your business, or someone calling our AI phone receptionist, SANAA.
Contact and account information
Your name, phone number, email address, and any notes you include with a booking. Salon owners also provide a business name and address.
Payment information
We do not store your credit card details. All payment data is handled securely by Stripe, our payment processor.
Photos
If you choose to add a profile photo, the app requests access to your photo library to let you pick one. We only access the specific photo you select.
Face ID / Touch ID
If you turn on biometric app lock, your device's own operating system handles Face ID or Touch ID entirely on-device. We never receive, see, or store any biometric data ourselves.
Camera
The app can use your camera to scan a salon's QR code so you can find and book with them quickly. We don't store or transmit any camera images — the scan happens entirely on your device.
Location
During salon owner sign-up, we request one-time access to your location to help verify your business address. We don't track your location in the background or at any other time.
Calendar
If you choose to add a booked appointment to your device's calendar, the app requests calendar access only to create that one event.
Push notifications
With your permission, we use a device push token to send booking confirmations, reminders, and updates about your appointments.
Voice calls to SANAA
If you call our AI phone receptionist, your call may be recorded and transcribed by our voice AI provider, Retell AI, for the purpose of processing your booking request.
Usage data
Standard technical data such as pages visited, browser type, and device information, used to keep the app and website running reliably.
How we use your information
We use this information to fulfill and manage bookings, send appointment reminders and updates, provide customer support, keep accounts secure, and meet legal and accounting obligations. We do not use your information for advertising, and we do not use tracking cookies.
Who we share information with
We do not sell your personal information. We share it only as needed to run the service, with:
- The individual salon you book with, so they can serve your appointment
- Stripe, to process payments
- Telnyx, to deliver SMS messages
- Retell AI, to power SANAA voice calls
- Supabase, our database host
SMS communications
If you consent to SMS, you'll receive transactional messages about your appointments. Reply "STOP" to any message to opt out at any time.
Data security and retention
Information is protected with encryption at rest and in transit (HTTPS/TLS). Booking records are retained for a minimum of three years to meet accounting requirements.
You can request deletion of your account and personal data at any time — see below.
Your rights and account deletion
You can access, correct, or delete your personal information, and opt out of communications, at any time.
In the app, go to More (or Account) → Legal → Delete My Account. You can also request deletion at bookwithai.app/delete-account or by emailing support@bookwithai.app. If you're not satisfied with how we've handled your data, you can also file a complaint with your local data protection authority.
Children's privacy
Book With AI is not directed at children, and we do not knowingly collect personal information from children under 13.
Cookies
Our website uses minimal session cookies to keep you signed in. We do not use third-party marketing or tracking cookies.
Changes to this policy
We'll update the effective date above if this policy changes, and post the updated version here.
